GWKB1102 : Quick Start Guide for the BookSense

This Knowledge Base article applies to both the standard BookSense (ruby red) and the BookSense XT (off white) using firmware version 2.1 or newer. The topics in this article are the contents of the package when you purchase the BookSense, how to insert and remove the battery, the physical layout, and how to insert and remove the SD card. In short, everything you need to get started.

BookSense Contents

When you first unpack the BookSense, you will find the following in the main box:

  • The BookSense itself (contained in bubble-wrap in the left side of the main box)
  • The removable battery pack (contained in bubble-wrap in the middle of the main box)
  • The AC adapter (contained in its own small box in the right side of the main box)
  • At least one lanyard (strap) to connect inside the top loop of the BookSense (contained in the back right of the main box)
  • A protective carrying pouch with drawstrings to store the BookSense (contained in the back right of the main box)

When you remove the cardboard inserts and look in the bottom of the main box, you will find a resealable bag which contains several additional items. If a CD is included, it will contain the BookSense manual. The following is what you will find inside the bag:

  • A long USB cable (used to connect the BookSense to the PC)
  • A short USB dongle cable (used to connect a USB flash drive to the BookSense)
  • A pair of earbuds
  • An SD card (contained inside its own protective case)

Please note: The standard BookSense comes with a 2 GB card while the BookSense XT comes with an 8 GB card. All packing materials should be kept in case you ever need to send in the BookSense to GW Micro for repairs.

Inserting and Removing the Battery

To insert the battery into the BookSense, do the following:

  1. Place the BookSense on a flat surface such as a desk so that its buttons are face down and the SD card slot is facing away from you. In this position, the strap holder will be on the left hand side.
  2. Slightly rotate the BookSense clockwise so the strap holder points to 11:00.
  3. Place your left hand on the left end of the BookSense and find a rectangular indentation above the battery compartment. This indentation is the spring lock switch which holds the battery in place.
  4. The battery has both a smooth surface and a rough surface. Feeling along the rough surface, you will find 2 hollow squares. These squares are at the bottom of the battery. To properly orient the battery, the 2 hollow squares need to be aligned against the 2 matching squares inside the bottom of the battery compartment.
  5. Place the battery inside the compartment so the squares are against each other. This means that the left edge of the battery will be a bit higher as you place it into the compartment.
  6. Place your left thumb into the spring-lock indentation and grip the BookSense with your left fingers against the strap holder.
  7. Push your left thumb toward the top edge of the BookSense. With your right hand, fit the battery into the right side of the battery compartment, push down so the battery snaps into place.
  8. Once the battery has been inserted, you can release the spring lock switch to lock the battery in place.

Please note: It's very possible that the battery might have a bit of a charge. If it does, the BookSense will automatically power on after inserting the battery. Because it's unknown just how much of a charge the battery actually has, we strongly recommend that you connect the AC adapter to the BookSense and fully charge the battery before using it for the first time. The location of where to connect the AC adapter is given later in this article. Even though it is possible to charge the battery via USB, it is still recommended that AC power is used for the first charge.

To remove the battery, do the following:

  1. Orient the BookSense in the same way as mentioned above. Make sure that the strap holder is at about 11:00.
  2. Place your left hand on the left end of the BookSense and find a rectangular indentation above the battery compartment. This indentation is the spring lock switch.
  3. Place your left thumb into the indentation and grip the BookSense with your left fingers against the strap holder.
  4. With your right hand, Grasp the sides of the battery near the top edge using the slots provided.
  5. To release the battery, push your left thumb toward the top edge of the BookSense. While the spring lock is released, lift the battery with your right hand.
  6. Once the battery has been removed, you can release the spring lock switch.

Description of the Buttons of the BookSense

The BookSense closely resembles the look and feel of a cell phone. The description of its buttons assume you are holding it in this fashion. To insure the correct orientation, the strap holder must be on top and the SD card slot on the left. Also, most of the buttons have multiple functions. For a detailed list of what each button does whether pressed quickly or for at least 2 seconds, please refer to the help mode or the user manual. To access the help mode, press the Menu button for at least 2 seconds. Press it again for at least 2 seconds when you are ready to disable the help mode. While you are in help mode, press any of the buttons to hear their names as well as their functions.

Description of the front of the BookSense

The front of the BookSense is divided into 3 sections. The top-most section is where the speakers are located. The speakers feel a bit rough because of the small speaker holes. As you move down, you will feel a smooth horizontal button. This is the clock button. When this button is pressed, the BookSense announces the time and date regardless of whether the BookSense is powered on or off.

As you move further down, you will reach the second section. This section contains the menu and navigation buttons. The menu button feels like a hollow rectangle. Surrounding this button are the 4 navigation arrows. The arrows are a bit smaller than the menu button. The up arrow is located between the menu button and the clock button.

The last section contains the numeric keypad. The buttons begin with 1, 2, and 3 in the first row and proceed down just like a telephone keypad until you reach the bottom row. The buttons located where a phone normally has the star and pound buttons are the stop/cancel and ok/enter buttons respectively. The 2, 4, 6, 8, stop/cancel, and ok/enter buttons are slightly raised higher than the 1, 3, 5, 7, 9, and 0 buttons. The 5 button has a dot in the upper-center of itself.

Lastly, under the stop/cancel button is the charging indicator led. Under the ok/select button is the internal microphone.

Description of the Left Side of the BookSense

Moving from top to bottom along the left side, there are 3 buttons. These are the program mode, volume up, and volume down buttons. Below the buttons is the SD card slot. The BookSense will accept standard and SDHC cards of any capacity.

Description of the Right Side of the BookSense

Moving from top to bottom along the right side, there are 2 buttons and a switch. The 2 buttons are the play/pause and record buttons. Pressing the play/pause button for 2 seconds will power on or off the BookSense. The switch is the key lock. When in the up position, the buttons are unlocked. When pushed down, all buttons of the BookSense are locked. Below the key lock switch is a tiny hole which contains the reset button inside. An extended paper clip or toothpick must be used to push into this small hole and press the reset button. Be careful that you don't use an object too large as it could damage the body of the BookSense and/or the reset button.

Description of the Top of the BookSense

The top of the BookSense has a strap holder in the middle. This holder has a jack on either side of it. The left side jack is used to connect an external microphone or audio patch cable for "line in" recordings. The right side jack is used to connect headphones or external speakers. There is a slight bump behind the headphone jack so you can quickly identify it.

Description of the Bottom of the BookSense

The bottom of the BookSense has 2 holes. The left side hole is round and is used for connecting the AC adapter. The right side hole is rectangular and is used to connect the mini-plug of a USB cable into the BookSense. The BookSense comes with 2 USB cables. The short cable is used to connect a USB flash drive to the BookSense and the long cable is used to connect the BookSense to a PC.

Inserting and Removing the SD Card

To insert and remove the SD card into the BookSense, do the following:

  1. Place the BookSense on a flat surface so the buttons are facing up and the SD card slot is on the left side. This means that the strap holder will be furthest from you and the AC adapter jack will be closest to you.
  2. The SD card is rectangular in shape with a series of rough-feeling ridges on one side. As you look at the SD card, you will notice that one of the corners near the ridges is beveled.
  3. Orient the card so the ridges are on the right side and the beveled edge is on the upper-right corner. If the card is not oriented properly, it will not fit inside the slot.
  4. Gently push the card into the slot (ridges first), until it clicks into place. Do not use excessive force because only slight pressure is required to lock the SD card into place. Once it is locked in place, you will hear a spring-click sound. If the BookSense is powered on, you will hear a "ding-dong" sound. This is the indication that the card has been successfully inserted.
  5. To remove the SD card, push the card in toward the BookSense and then release it. You will hear a clicking sound as the spring-lock releases the card. If the BookSense is powered on, a "bloop" sound will be heard. Now the card will be sticking out some and you can pull it the rest of the way out.
